The challenge

A clinic cannot afford downtime or data loss, and staff are not technicians — the system has to be obvious under pressure. Patient records also carry a privacy obligation that a spreadsheet does not meet.

What we did

1. 01

   Built a single system covering appointments, patient records and billing, so staff stop switching between tools.

2. 02

   Designed the booking flow around the room and the practitioner, not the patient, so double-bookings become impossible rather than unlikely.

   Added role-based access so staff see only the records their role requires, with an audit trail of who viewed what.

   Included daily backups and a clear recovery path, because in a clinic the question is not if something goes wrong but when.

Outcome

One system the clinic runs on. Rooms are booked without conflict, records are found in seconds, and the audit trail means the clinic can answer who accessed what and when.
